Duty of Care Protocols

These guidelines may be changed or updated without notice. Show management will be monitoring the status of these guidelines leading up to the event as they pertain to federal, state and local requirements for large gatherings.
We have several new changes you will experience at this year’s conference and expo.
For everyone’s safety, FireShowsWest will be implementing Duty of Care protocol’s that combine federal, state, and local guidelines for the safety of all participants. The standards and practices are designed to provide confidence that at FireShowsWest, we are striving to provide the highest standards of safety, hygiene, cleanliness, and quality for our attendees, exhibitors, sponsors, speakers, visitors, and journalists coming to our event to connect, learn, and conduct business.
Any change in guidance from federal, state or local authorities and/or best practices in the event management industry will be communicated to all participants. FireShowsWest will follow the higher level of safety if there are differences in guidance from differing authorities or industry.
At controlled event gatherings like FireShowsWest, we will be implementing the best practices recommended by leading event and conference councils, as well as using accepted industry practices.
We have put in place a comprehensive range of enhanced standards that make the health and safety of everyone who attends a priority.
Current guidance and industry best practices require all participants to wear a mask throughout the event. It is preferred that the mask be at least two layers of comfortable fabric with a nose bridge at the top that will fit securely and comfortably across the nose.
Masks will be available on-site if a guest does not have their own.
No Onsite Registration
Through increased use of technology, FireShowsWest will plan to minimize any opportunity for registration lines and entry transactions. Visitors are encouraged to register online BEFORE the show. This will enable a confirmation QR code for scanning to allow contactless entry. On-site computers will not be available to participants to register. Please register on-line prior to arriving at the conference location. Registration and customer service areas will have a partition between visitors and staff.
All attendees and exhibitors will need to pre-register prior to arriving to pick up their badge. Upon registration, the participant will receive a confirmation with a QR code that can be scanned to retrieve their badge.
All classrooms will be set up theater style with chairs spaced per the seating guidelines in advance of the conference.
Handouts and Classroom Materials
All classroom presentations and handouts will be downloaded via a link or QR code.
We encourage exhibitors to provide downloadable links for company and product information.
Hand sanitizing stations will be placed throughout the areas near the classrooms, exhibit hall, registration area, and any other gathering locations. All participants are encouraged to regularly wash and disinfect their hands.
There will be enhanced sanitation throughout the course of the event, with a focus on ‘high-touch areas’, such as door handles, restrooms and food and beverage areas.
FireShowsWest will implement social distancing protocols according to the guidance of government or official authority guidance, and according to any regulations in effect in advance of our conference.
For planning purposes, a 3-foot radial distance / 6 feet of physical distance per person. Entrances and exits to and from the exhibit hall will be one-way only. Lounges, table rounds, and seating areas will be arranged to ensure physical distancing. Hotel elevators and restrooms will have capacity controls.
Crowd Distancing Standards (CDS)
If necessary, credential scanning upon entering and exiting the exhibit hall will allow show management to monitor the number of people on the show floor to ensure that each person is physically able to maintain 6’ of distance.
FireShowsWest will implement temperature screening protocols according to the guidance of government or official authority guidance, and according to any venue-specific regulations in advance of the conference.
FireShowsWest will have available a qualified first aid responder for any immediate medical needs or medically related questions.
Security & Safety Measures
FireShowsWest will have additional security during the conference and expo to ensure participants have a safe experience at the conference and expo site.
We will be in contact with all participants before the event to let them know what to expect at the event and how to prepare. Signage will be displayed throughout the conference and expo areas to remind everyone of the enhanced health and safety measures that are in place, and our expectations of all visitors.
Vaccine verification is still under review and discussion. FireShowsWest will abide by the guidance from federal, state or local authorities and/or best practices in the event management industry.
